Website enquiry data may include your name, work email, business name, website, email platform, approximate email volume, inbox problem, form message, booking information, analytics data and other information you submit.
Client mailbox/workflow data may include approved inbox messages, email metadata, draft replies, routing notes, knowledgebase material, workflow settings, logs, escalation rules, approved response examples and support conversations. This data is only processed after a paid scope, proposal or agreement is in place.

Information may be collected through website forms, booking tools, fit-check calls, emails, approved mailbox connectors, approved forwarding rules, client-provided documents, knowledgebase uploads, support conversations, workflow logs, analytics tools and authorised integrations.
Why information is used
AiBorz uses information to respond to enquiries, assess mailbox fit, prepare proposals, configure AI Mailbox Handler workflows, classify emails, route work, draft replies, support approved knowledgebase responses, manage escalation rules, provide client support, prepare reports, improve the scoped workflow, manage billing and operate the business.
Third-party tools and providers
AiBorz may use third-party tools for hosting, website forms, analytics, CRM/contact management, calendar booking, workflow automation, mailbox connectors, AI model/API access, logging, support and billing. Specific providers and settings relevant to paid mailbox access are confirmed in the client proposal or data terms where required.
Overseas processing
Some providers may process or store data outside Australia. Relevant processing locations, provider settings and client requirements should be confirmed in the proposal or data terms before paid mailbox access begins.
AI model use and training
Client mailbox data is not used to train public AI models by default. Approved providers, model settings and data-handling terms are confirmed before paid mailbox access.
Access and security
AiBorz uses a scoped-access approach. The Mailbox Handler should only receive the access required for the approved workflow where practical. Sensitive messages are escalated, important external replies are human-approved by default, and approved response rules are limited to low-risk cases after testing and written approval.
Retention and deletion
Website enquiry data is retained only as long as needed for business, legal and operational purposes. Client workflow data, logs, knowledgebase material and mailbox-related data are retained and deleted according to the paid scope, proposal or data terms. Cancellation and offboarding should include revoking access, disabling connectors and deleting scoped data according to the agreed retention terms.

Sensitive information
AiBorz public forms are not intended for sensitive information. Scoped paid workflows define how sensitive emails are handled, escalated, retained and deleted.
